Self-managed HOA and condo boards

HOA mailing service that fills in each owner's letter

Mail the annual meeting notice, the budget or a dues change to every owner by USPS First-Class, from one PDF or letter template and your owner spreadsheet. With a template, each owner's name, unit and amount fill in from their row. Up to 100 owners per batch, $2.05 for a one-page letter all in.

Create your account first, then prepare your mail. Preview and review the total before paying.

What fits in our envelope, and what doesn't

Owner notices and letters go First-Class through us. Anything that needs a Certified label, a return envelope or a check goes another way.

We do

Notices and letters to every owner

Our HOA mailing service sends USPS First-Class letters: meeting notices, budget and dues letters, special assessment letters, rule changes and courtesy reminders. The address page we add puts each owner's address in the envelope window, so your notice's first page stays untouched.

  • Up to 100 owners per batch from a CSV, with each owner's fields filled in from a letter template
  • Any PDF available from the status page, alongside your approved source document and each letter's status with USPS scan updates when available
  • $2.05 for a one-page letter, postage included; longer packets cost more

What a board sends another way

Postmarkr doesn't send Certified Mail or issue a Certificate of Mailing. It can't add return envelopes, ballot packets, coupon books or checks. It doesn't connect to CINC, Vantaca, AppFolio, Buildium or PayHOA, and batches print single-sided. Instead:

  • Certified Mail or a Certificate of Mailing: a post office counter
  • Ballots that come back in a return envelope: a printer or an election vendor
  • Coupon books: a printer, or print a payment slip as a page of the letter for owners to mail back in their own envelope
  • Checks: your bank's bill pay, or by hand
  • Owner lists kept in HOA software: copy them into a CSV and upload it

One board update, two owners

A fictional courtyard update shows what stays the same and what changes in each letter. This is a format example, not a legal notice or a delivery-verified owner list.

Same letter for everyone: upload one PDF and import the mailing addresses. Every envelope gets its own recipient and address; the PDF content stays identical.

A letter filled in for each owner: save a letter template with the fields {{name}} and {{owner_unit}}, then import a CSV with those columns and the mailing address columns below. Each row fills one owner’s letter.

Illustrative CSV: the first row contains these column names; the next two rows contain these owners.

Dear {{name}},

Here is the courtyard planting update for your home in unit {{owner_unit}}. The board will share the planting dates once they are confirmed.

Your association board

Replace every sample value with your current owner records. The mailing address can differ from the unit named inside the letter. Check imported addresses, preview the filled-in sample and review the total before paying. Use the method required by your governing documents and state for formal notices; Postmarkr does not send Certified Mail.

Board officers and small landlords

  • Self-managed board officers

You keep the owner list and mail it a few times a year: the annual meeting packet, the budget, a dues change. Upload the list as a CSV with one letter. At 100 owners per batch, 150 owners is two batches.

  • Small landlords

You send a few tenant notices at a time: a maintenance notice or a courtesy reminder, one letter from a PDF or one per unit from a spreadsheet. When your lease or state names how a notice must go, use that method. The late rent guide shows where to check.

Questions

Batches, owner lists and envelopes

Do you send Certified Mail?

No. Every letter goes USPS First-Class. Postmarkr doesn't send Certified Mail, doesn't issue a Certificate of Mailing (PS Form 3817), and can't give you a USPS-confirmed mailing date. If your governing documents or your state's notice rules name one of these for a notice, send that notice from a post office counter.

What each USPS option records

Can I mail the annual meeting notice to every owner?

With Bulk Send, up to 100 owners per batch. Put the notice, agenda, proxy form and budget in one PDF or letter template, upload a CSV of owners, approve one proof and pay once for the batch. With a PDF, every owner gets the same pages behind their own address page. With a letter template, each owner's fields fill in from their row.

How Bulk Send works

Our association has 150 owners. Can we send one batch?

No, it takes two. Each batch holds up to 100 owners and $1,000, so split the list into two CSV files and send each one. Each batch gets its own proof approval and checkout. For owner notices, the 100-owner limit is the one you'll reach first; the dollar cap only matters for very long packets.

Can each owner's letter show their own unit and amount?

Yes, with a letter template. Add a field for each item, such as unit_number or amount_due, and give each field a column in your CSV. Every field needs a value in every row. Call the greeting field salutation_name, not recipient_name, because the import reads that heading as the envelope's name. Write a credit as (25.00): a cell that starts with a minus, plus, equals or @ sign loses that first character.

What about an owner with two units, or two owners at one address?

Rows with the same owner name and identical mailing-address fields produce one letter per batch. Two different owners at the same address each get a letter. Keep property units in a separate unit_number column, not unit: unit fills address line 2, so different unit values can produce separate letters. For an owner with two units at one mailing address, list both units in one letter, or send the second unit's letter in another batch.

Can you include a return envelope or a proxy card?

No. We don't add return envelopes, inserts, coupon books or checks. A proxy form can print as a page of the notice, and the owner mails it back in their own envelope. Ballots that come back in a return envelope need a printer or an election vendor.

What record do I keep after a batch is mailed?

The batch page lists every owner's letter and its outcome. Each letter has its own status page with USPS scan updates when available. Save any PDF available from that page alongside your approved source document and the status record. A retry-ready CSV is offered only when saved inputs and outcomes are sufficient to confirm which rows were not mailed; some rows may be withheld. Use only the retry-ready CSV to resend, not the diagnostic failure report or the original list. That record isn't a Certificate of Mailing and doesn't show a USPS-confirmed mailing date. If USPS confirms a letter was lost, we'll resend it for free.

How much does a batch cost, and when does it go out?

A one-page black-and-white letter is $2.05 all in: printing, the address page we add, the envelope, USPS First-Class postage and the processing fee. Every letter in a batch costs the same, and you see the batch total before you pay by card. Bulk Send prints single-sided, and longer packets cost more. Printed the next business day following payment, and USPS estimates 1–5 days for First-Class delivery.

Can our management company use one account for all its associations?

Each login has one workspace, with one address book and one set of letter templates, and there's no way to invite a second user. The address book has no per-association folders, and owners from a CSV are saved into it when you send. Keep one CSV per association outside Postmarkr and upload the one you're mailing.

Our management company charges per letter to mail notices. How do we compare?

The price you see before paying is the whole price: $2.05 for a one-page letter, postage and processing fee included, with no subscription. Put that next to the mailing line on your management invoice. If your management agreement says the manager sends official notices, keep sending those through the manager.

What a longer packet ships in

Bulk Send prints single-sided, so a packet that reaches 7 sheets, the address page we add included, goes in a flat envelope and costs more.
