Choose the document

The same update, or a personal letter?

Upload a recipient CSV for either approach. For a shared PDF, you can also select saved addresses or combine them with your CSV. Personalized template fields need their corresponding values in the CSV.

One shared PDF

Upload a finished PDF once. Everyone in the batch receives the same document content. Each recipient has their own address page.

Useful for the same office update or general notice sent to a list.

A personalized template

Choose a saved letter template. Match CSV columns to its fields so names, references, or other details change for each recipient.

Uploading a PDF does not personalize the words inside it.

Prepare and review

Check the mailing before you pay

01 · PREPARE

Bring the essentials

Your PDF or saved template, recipient addresses, and a return address. For template fields, include the corresponding values in your CSV.

02 · CHECK

Review the recipients

Review accepted recipients, duplicates and flagged address issues. Resolve problems before paying. Address checks cannot guarantee delivery.

03 · CONFIRM

Read the proof and total

Check the letter preview and order summary. A personalized template proof shows a sample recipient’s letter, not every version.

Batches support up to 100 recipients and a $1,000 order total. Prepare a larger mailing as separate batches. Mailing for an executive, a board or a client list? See how Postmarkr works for executive assistants. See the full mailing process.

After payment

Follow the mailing in your account

Postmarkr handles printing and USPS handoff. Your account shows processing milestones and USPS scan updates when available. Open the batch to review individual letters and any reported problems.

Carrier scans can be delayed or missing. A scan is not proof that the recipient received or read your letter.

Questions before a business mailing

What is included in the example price?

Printing, the envelope, USPS First-Class postage, an added address page and the per-letter processing fee. Your actual total follows your document and settings. For postage alone, see USPS rates.

What goes in my recipient CSV?

Include recipient names and mailing addresses. Add the values needed by personalized template fields. Use the sample CSV and column mapping in the mailing flow to match your file to its required fields.

Can each person receive a different uploaded PDF?

A batch uses one shared PDF or one letter template. It does not attach a different uploaded PDF to each recipient. Use a template when details inside the letter need to vary.

Can I stop a mailing after paying?

Need to stop a letter after paying? Contact support right away and we'll try to catch it before it prints. Once a letter is queued for production it usually cannot be stopped, which is why the preview and total come before payment.

What if a letter is lost, misprinted or returned?

If USPS confirms a letter was lost, we'll resend it for free. If there's a print quality issue, we'll reprint and resend for free. Mail returned as undeliverable because of an incorrect or incomplete address is not eligible for a refund or free resend. Read the refund policy.

Who can read my documents?

Your documents are processed automatically. We never read or review the content of your mail. Documents are encrypted in transit and at rest. Read the privacy policy.

Can I order Certified Mail or postcards here?

This page covers First-Class letters. Certified Mail and postcards are not available as new orders. Compare mailing options if your requirements differ.
